Client schedules a year of newsletters in advance. Each month has a 'this month's events' section that needs different content. Editing 12 scheduled emails every month is not the answer. Reference Content Block is.

Reference Content Block: Content That Updates After Email is Scheduled

Client runs a retail newsletter program. Schedules 12 months of sends in advance. Each month has a "This Month's Events" section with different content. The section changes monthly; the rest of the email doesn't.

Naive approach: edit 12 scheduled emails every month. Fragile. Error-prone.

Better approach: Reference Content Block. One block, 12 email references to it. Update the block each month - all 12 emails pick up the new content at render time.

How Reference Content Block works

A normal Content Block, when inserted into an email, either:

  1. Makes a local copy - email stores a snapshot of the block's content. Updates to the block don't propagate.
  2. Keeps the reference - email stores a pointer to the block. When the email renders at send time, SFMC fetches the latest block content.

Reference Content Block is option 2.

Setup:

  1. Create a Content Block named "Monthly_Events_Block" (the source)
  2. In the email template, insert a Reference Content Block pointing to "Monthly_Events_Block"
  3. Every month, update "Monthly_Events_Block" once. All emails using the reference get the new content on their next render.

When to use Reference vs Dynamic

Both display conditional content but differ in what drives the selection:

  • Reference Content Block: shows the latest version of a single source block. Same content for all subscribers. Content changes over time, not per subscriber.
  • Dynamic Content Block: shows different content based on subscriber data (MemberTier = Gold shows block A, Silver shows block B). Same snapshot across time; varies per subscriber.

Use Reference when content changes by schedule (this month, next month). Use Dynamic when content changes by audience (Gold vs Silver subscribers).

Can combine: a Dynamic Content Block that points to multiple Reference Content Blocks. Complex but doable.

The Keep-Up-to-Date toggle

When inserting a Content Block into an email, SFMC prompts:

  • "Keep content blocks up-to-date" = Reference (dynamic pull at render)
  • "Make local copies" = snapshot at insert time

For content meant to stay current (footer address, brand tagline, seasonal banner), pick Keep content blocks up-to-date. For content that should freeze at a point in time, pick Make local copies.

Mistake 1: Wrong toggle choice

Team inserts "Global Footer" block with "Make local copies." Client moves office; address in footer needs updating. Now 200 emails need manual updates because none of them reference the footer block - they all have stale local copies.

Fix: use Reference for anything that should propagate updates.

Mistake 2: Assuming template updates propagate to existing emails

This one surprises people: updating the template of an existing email does NOT automatically update the email. You must click "Update Email Now" on each individual email to pull the latest template.

No bulk "update all 50 emails using this template" function exists.

For content that needs to propagate automatically, use Reference Content Blocks (not template updates).

Use cases that fit

  • Monthly promotion banner - Reference Content Block, swap the banner per month
  • Brand footer - Reference Content Block, one source for every email's footer
  • Legal disclaimer - Reference Content Block, compliance updates propagate instantly
  • Seasonal hero - Reference Content Block, change by season
  • Event announcement - Reference Content Block used in multiple emails pointing at the same event

Use cases that don't fit

  • Subscriber-specific content - use Dynamic Content Block with AMPscript rules instead
  • Content that must freeze at send time - use Make Local Copies; Reference's "latest version" behavior is wrong here
  • Content that doesn't change - plain content block is fine; Reference adds unnecessary indirection

Governance

Reference Content Blocks are powerful but risky - one change propagates to many emails. Governance recommendations:

  • Name blocks clearly: Footer_Global, Banner_Monthly_{Month}, Disclaimer_Legal
  • Document which emails reference which block (asset library relationships)
  • Lock blocks to prevent accidental edits by junior marketers
  • Test reference updates before send - preview one email using the block to confirm new content renders correctly

Pattern: rolling monthly banner

Scenario: send weekly newsletters, each with a "This Month's Event" banner.

One monthly update replaces four weekly updates. Scales further - a year of weekly sends (52 emails) needs just 12 block updates.

Pattern: compliance disclaimer

Scenario: legal team occasionally updates a required disclaimer.

Prevents the "old disclaimer still in some emails" compliance problem.

Takeaway

Reference Content Block is the right tool when content should stay current across many emails. Insert with "Keep content blocks up-to-date" - not "Make local copies." Governance matters: lock blocks, name clearly, document references. One update propagates to N emails at render time. Saves hours per month on client accounts with recurring content.
